Caspio is a low-code platform for building secure database web apps and portals, aimed at business teams and regulated industries.

Overview

Caspio review

This Caspio review covers what the platform is used for, its features, Caspio pricing, security, and how it compares with other software. Caspio is a low code platform, and the company now calls it an AI platform for custom business applications. It combines a cloud database, a visual builder and workflows in one piece of software. You model data in tables, then create forms, reports and search pages called DataPages, and embed them in any website or run them as web applications. The company was founded in 2000, is based in Sunnyvale, California, and says more than 15,000 organizations and businesses use it. Every plan includes unlimited app users.

What is Caspio used for?

Caspio is used for building custom business applications without extensive coding. Typical examples are customer and partner portals, case and claims management, patient intake, inventory and asset management, project management, expense reports, grant management for non profit organizations, and internal systems that replace spreadsheets or Microsoft Access. Because data lives in a secure cloud database with record level security, Caspio is common in healthcare, government and education, where sensitive data is the norm.

Business analysts and IT teams use the platform to deliver a first version in days instead of the months traditional software development takes, and to automate workflows across operations and older systems. Caspio offers professional services too, so a company can have the first version built for it. The platform suits businesses with many external users, such as clients, members or patients, because Caspio has no per seat fees.

Key features

  • Cloud database: a SQL Server data core with tables, views, relationships, formulas and import from Excel, CSV or Access. The data model supports role-based and record level security, encryption and audit trails.
  • Visual app builder: DataPages for forms, reports, charts, calendars and search, plus the Flex visual app builder for full screens. Pages are responsive and embed in WordPress or any site with a line of code.
  • Workflows: triggered actions run on data changes, and scheduled tasks run on a timetable, for example to send emails or update records in other systems.
  • Integrations: a documented REST API, webhooks, Zapier, Make, n8n and Keragon for healthcare. Caspio integrates with identity providers through SAML single sign-on on eligible plans.
  • AI tools: Caspi, an assistant that builds applications from a description; connector extensions that summarize, classify or extract data; an in-app chat agent that answers users' questions within their permissions; and the Caspio MCP server, which lets agents such as Claude and ChatGPT query and update data through the REST API (Caspio integrations).
  • Enterprise grade security: HIPAA, SOC 2 Type II and GDPR, independently certified annually, with FERPA and WCAG support (Caspio).

Caspio pricing

Caspio pricing is per account, not per user, which helps scalability as usage grows. The plans below come from the Caspio pricing page as of September 2026.

  • Team: $300 a month billed monthly, or $270 a month billed annually. 100 DataPages, 250,000 records included, 5 app authors, unlimited app users, 10,000 emails a month, 50 GB of file storage.
  • Business: $600 a month, or $540 billed annually. 200 DataPages, 1 million records, unlimited authors, 20,000 emails, 100 GB of storage.
  • Enterprise plan: custom pricing, with unlimited DataPages, 2 million records and more, 200 GB or more of storage and longer log retention.

There is no free plan; Caspio offers a free trial with full access to core features. The HIPAA/Compliance Edition costs an extra $500 a month with a one-year minimum term.

The cost surprise to check is the operational thresholds. Each plan includes a set number of DataPages, records, emails and storage, so a growing project can push you to the next plan or an add-on before you add a single user. If you store health data, $300 plus $500 is $800 a month on the Team plan.

Is Caspio HIPAA compliant?

Yes. Caspio offers an annually certified HIPAA environment through the HIPAA/Compliance Edition, released in 2014, and offers a business associate agreement (BAA) to customers building on the platform. Caspio has also signed a BAA with OpenAI, so its native AI features can work on protected health information in the HIPAA edition (Caspio). The same edition covers GDPR for European data. Security capabilities include record level security, role-based permissions, encryption, audit logs and single sign-on, so a small healthcare team can launch a patient portal without building its own infrastructure. Check which data centers your plan includes before you store protected health information.

How does Caspio work? App development without extensive coding

You start in the browser, with no software to install. Import a spreadsheet or create tables, define the fields and relationships, then use the wizards to create DataPages: a submission form, a searchable report, a login screen. Each DataPage gets an embed code or a direct link, so you can add it to an existing website or combine several into one application with Flex. Authentication, permissions and workflows sit on top of the same data, and the REST API connects Caspio to other software. The learning curve is moderate: forms and reports are quick to create, but complex logic, styling and permissions take time.

Where Caspio shines — and where it falls short

Strengths:

  • Unlimited users on every plan, which keeps costs flat for portals with many external users.
  • Certified HIPAA, SOC 2 and GDPR for healthcare and government.
  • A real SQL Server database with record level security, audit trails and full data management capabilities.
  • Embeddable DataPages that drop into any existing website.

Trade-offs:

  • A high starting price for small teams: plans start at $300 a month.
  • Limited design flexibility compared with a visual front-end builder.
  • No native mobile apps; everything runs as responsive web applications.
  • Cloud only, with no on-premises option.

How Caspio compares

  • Knack: a cheaper database app builder for simpler portals.
  • Quickbase: an operations code platform for businesses, priced per user.
  • Microsoft Power Apps: the Microsoft 365 and Dataverse option, priced per user.
  • AppSheet: Google's builder for mobile apps on Sheets and databases.
  • Claris FileMaker: a database app platform with desktop, iPad and web clients.
  • Airtable: a spreadsheet-style database with interfaces, per seat.
  • Oracle APEX: low code apps on an Oracle Database.
  • Retool: internal tools for developers on top of existing databases and systems.

Is Caspio worth it?

Caspio is worth it for organizations that need secure database applications with many users, especially in healthcare and government, where certified security and unlimited users outweigh the monthly price. It is less of a fit for a small team with a simple internal tool, for a custom design or native mobile apps, or for a company that must host on-premises. Decide by building a first version in the free trial. If you want help to build on Caspio or migrate from Microsoft Access, the low-code agencies and developers on LowCodeDevs can take it on.
