Microsoft Power Apps

Microsoft's low-code platform for business apps on Dataverse and Microsoft 365

App builders · Mobile apps

Microsoft Power Apps is a low-code platform where IT and business teams build custom apps on Microsoft 365, Dataverse and SQL data.

Overview

Microsoft Power Apps review

This Power Apps review covers what Microsoft Power Apps is used for, its key features, Power Apps pricing and licensing, how it fits the Microsoft Power Platform, where it shines and falls short, and how it compares with other low-code tools. Power Apps is a suite of apps, services, connectors and a data platform for building custom business applications. You can build apps on data stored in Microsoft Dataverse or in data sources such as SharePoint, Microsoft 365, Dynamics 365 and SQL Server, and the apps run in a browser and on mobile devices (Microsoft Learn). Business users build apps without writing code, while professional developers extend them with code, custom connectors and Azure services.

What is Power Apps used for?

Many organizations use Power Apps to replace manual processes built on Excel, email and paper forms. Typical apps are inspection and audit forms, asset and inventory tracking, approval requests, onboarding checklists, field service apps, case management and internal portals. Because the apps sit inside Microsoft 365, they can run in Microsoft Teams, read and write SharePoint lists and trigger Power Automate flows that automate business processes.

Larger organizations use Power Apps for enterprise solutions on Dataverse, the same data platform behind Dynamics 365. That lets teams build custom business applications on business data that already lives in Dynamics 365 Sales or Customer Service, without a separate integration (Microsoft Learn). IT departments often pair citizen developers with a central platform team that sets governance and supports professional developers on the harder apps.

Key features

  • Canvas apps: design the screen freely in Power Apps Studio, a drag-and-drop designer that works a bit like PowerPoint, with Excel-like Power Fx formulas for business logic.
  • Model-driven apps: generate a complete app from a Dataverse data model, with forms, views, dashboards and business process flows. Good for complex, data-heavy business systems.
  • Microsoft Dataverse: a managed database with tables, relationships, role-based security, auditing and business rules.
  • Connectors: standard connectors for SharePoint, Excel, Outlook and Teams, and premium connectors for SQL Server, Salesforce, SAP, custom APIs and on-premises data through a gateway.
  • Copilot in Power Apps: describe the app you want and Copilot designs it; the new plans experience turns a business description, process diagram or screenshot of a legacy app into a solution.
  • Power Platform integration: Power Automate for workflow automation, Power BI for reports, AI Builder for document processing, and Copilot Studio (formerly Power Virtual Agents) for AI agents.
  • Governance: environments, data loss prevention policies and the Power Platform admin center, so IT can control which connectors and data each app may use.

Power Apps pricing

Power Apps is licensed per user. The plans below come from the Power Apps pricing page as of September 2026.

  • Developer Plan: free, for building and testing only, with 3 developer environments and 2 GB of Dataverse database.
  • Power Apps Premium: $20 per user per month, paid yearly. Unlimited apps, premium connectors, Dataverse capacity, agentic features and Microsoft 365 Copilot chat.
  • Power Apps Premium, 2,000+ seats: $12 per user per month, paid yearly.
  • Pay-as-you-go: $10 per active user per app per month, billed through an Azure subscription only for people who open the app that month.
  • Dataverse capacity add-on: $40 per GB per month, paid yearly.

The licensing metric is the user, not the app: Microsoft states there is no limit to the number of apps you can build or users you can add. The old per-app plan at $5 per user per app is no longer sold to new customers since January 2026; existing EA and CSP customers can renew it (SAMexpert).

Power Apps and Office 365: included in part. Most Microsoft 365 business and enterprise licenses let users build and run canvas apps that use standard connectors such as SharePoint, Excel and Teams. As soon as an app uses a premium connector, Dataverse or a custom connector, every user of that app needs a Premium or pay-as-you-go license.

The cost surprise to check is exactly that line. A simple SharePoint app is free for your staff; add one SQL Server or Salesforce connector and the whole user base needs paid licenses. Dataverse storage beyond the included capacity is billed per GB.

Canvas apps vs model-driven apps

Canvas apps start from the screen: you place controls where you want them and bind them to data sources with formulas. They suit task-focused mobile apps and forms. Model-driven apps start from the data: you define tables, relationships and business rules in Dataverse, and Power Apps generates a consistent, responsive interface. They suit complex business processes with many records and roles. Most enterprise solutions mix both, and Power Pages adds external-facing websites on the same data. Choosing the right type early saves rework later.

Power Apps vs Power Automate and Power BI

Power Apps, Power Automate and Power BI are parts of the Microsoft Power Platform, and they do different jobs. Power Apps builds the application interfaces people use to enter and view data. Power Automate runs workflows in the background, for example to automate business processes such as approvals or to sync external systems. Power BI builds reports and dashboards on the data. A typical solution uses all three: an app to capture data, a flow to apply business logic and notify people, and a report to track results.

Where Power Apps shines — and where it falls short

Strengths:

  • Deep integration with Microsoft 365, Teams, SharePoint, Dynamics 365 and Azure services.
  • Two app types for simple forms and complex enterprise data.
  • Enterprise governance, data loss prevention and security from the Microsoft stack.
  • Canvas apps with standard connectors are included in many Microsoft 365 plans.

Trade-offs:

  • Licensing is complex, and premium connectors change the cost for every user.
  • Canvas apps get slow with large datasets and delegation limits on some data sources.
  • Power Fx and good app design take time to learn for serious apps.
  • Apps are tied to the Microsoft cloud and are hard to move to another platform.

How Power Apps compares

  • AppSheet: Google's no-code app builder, the Google Workspace equivalent.
  • Mendix and OutSystems: enterprise low-code platforms with more control over code and deployment.
  • Retool and Appsmith: internal tools for developers on top of databases and APIs.
  • Quickbase and Caspio: database-first no-code apps outside the Microsoft stack.
  • Microsoft Power Automate: the workflow automation half of the same platform.

Is Power Apps worth it?

Microsoft Power Apps is worth it for organizations that already run on Microsoft 365 and want to build applications quickly for internal teams. Simple apps on SharePoint and Excel may cost nothing extra, and the platform scales to enterprise solutions on Dataverse with strong governance. It is a weaker fit for customer-facing apps, for teams outside the Microsoft ecosystem, or when a few premium connectors would push hundreds of users onto paid licenses. If you want help to build custom business applications on the Power Platform, the low-code agencies and developers on LowCodeDevs can take it on.
