ClickUp
All-in-one work management app for tasks, docs, chat and AI
ClickUp is a project management platform that puts tasks, docs, whiteboards, chat, time tracking and AI in one app for teams of any size.
Overview
ClickUp review
This ClickUp review covers what ClickUp is used for, its key features, ClickUp pricing and the AI add-ons, the learning curve, where it shines and falls short, and how it compares with other project management tools. ClickUp promises to be the everything app for work and to cut the tool fatigue of juggling separate project management tools. In practice ClickUp offers a task management and project management platform with a very flexible data model: every task can carry custom fields, statuses, dependencies, time tracking and comments, and the same tasks can be shown in more than 15 views. Around that core, ClickUp offers real-time collaboration in ClickUp Docs, whiteboards, ClickUp Chat, forms, dashboards, automations and ClickUp Brain, its AI layer. The company was founded in 2017 by Zeb Evans and Alex Yurkowski and is based in San Diego.
What is ClickUp used for?
The main purpose of ClickUp is to plan and track work across a whole organization in one place. Typical uses are project management for agencies and marketing teams, sprint planning and bug tracking for software development teams, content calendars, client onboarding, operations and HR processes, and personal task lists. Because you can link tasks across lists and see all the tasks of a person in one place, ClickUp works for multiple projects that share people and deadlines, and for complex projects with dependencies and milestones.
Teams often start with one department, for example marketing campaigns, and expand once different teams see the dashboards and project tracking in one place. ClickUp can also act as a light CRM: a list with custom fields for company, deal value and stage, a board view for the pipeline and automations for follow-ups. It is not a dedicated CRM, so sales teams with heavy email sequences usually connect ClickUp to HubSpot instead. Knowledge management is covered by ClickUp Docs and wikis, which link to the tasks they describe and can replace Google Docs for internal documentation.
Key features
- Hierarchy: work is organized as Workspace, Spaces, Folders, Lists, tasks and subtasks. Spaces usually map to departments or clients, Lists to projects.
- Task management: unlimited tasks, subtasks, checklists, assignees, priorities, dependencies and recurring tasks. Tasks assigned to several team members show up in each person's workload.
- Custom fields and statuses: dropdowns, numbers, dates, formulas, relationships and more, with a custom status workflow per List.
- Task views: List, Board (kanban), Calendar, Gantt charts, Timeline view, Table, Workload, Mind Map and others, all on the same task data. The Workload view handles workload management across team members.
- Built-in time tracking: start a timer on any task, add manual entries and estimates, and report billable time per project.
- ClickUp Docs and whiteboards: documents and whiteboards that multiple team members edit in real time and that link to tasks, for specs, meeting notes and wikis, much like Google Docs inside your project management tool.
- ClickUp Chat: channels and direct messages next to the work, so a message can become a task.
- Automations: workflow automation with trigger, condition and action rules that assign tasks, change statuses, post comments or call webhooks, without code. Forms turn form submissions into tasks, so teams automate processes such as intake requests.
- Dashboards and goals: charts, workload and time reports, and goal tracking for project status across teams.
- Integrations: native integrations with Slack, Microsoft Teams, GitHub, Google Drive, Google Calendar, Outlook, HubSpot and Zoom, plus third party integrations through Zapier and Make for more than 1,000 other tools (ClickUp integrations). A mobile app for iOS and Android covers tasks, comments and time tracking on the go.
- Security: two-factor authentication on every plan, encryption of data, Google SSO on Business and SAML SSO, audit logs and HIPAA options on the Enterprise plan.
- ClickUp Brain: AI that can summarize tasks, write and edit docs, answer questions across your workspace and, on the higher AI plan, run AI fields, automations and a notetaker.
ClickUp pricing
ClickUp charges for each member of your Workspace, billed monthly or annually. The plans below come from the ClickUp pricing page as of September 2026.
- Free Forever: $0. Unlimited tasks and free plan members, collaborative docs, kanban boards, calendar view, sprint management, basic custom fields, 60 MB of storage, 1 form, limits of 5 Spaces and 1 wiki, and trial access to many advanced features.
- Unlimited: $7 a user a month billed annually, $10 monthly. Unlimited storage, Spaces and forms, Gantt charts, integrations, custom fields, time tracking, goals, guest permissions and ClickUp Chat.
- Business plan: $12 a user a month billed annually, $19 monthly. Adds unlimited dashboards, timeline and activity views, webhooks, 5,000 automations a month, mind maps, private whiteboards, sprint points and Google SSO.
- Enterprise plan: custom pricing. Adds advanced permissions, SAML SSO, SCIM, audit logs, 250,000 automations a month, HIPAA and data residency options, and a customer success manager.
AI features are sold separately: Brain AI costs $9 a user a month billed annually, and Everything AI costs $28 a user a month billed annually, with more AI credits, AI fields, the AI Notetaker and AI automations. The free plan only includes trial access to the advanced AI features.
The cost surprise to check is the stack of limits and add-ons. Automations, dashboards and some views are capped per plan, and AI is an extra per-user charge on top of the base plan, so a team on the Business plan with Everything AI pays $40 a user a month billed annually. The Enterprise plan adds security and admin controls that larger organizations need. Members of your organization count as paid users; only guests are free up to a tier limit. Most teams save money on the annual plan and should check which features they actually use before they upgrade.
Is ClickUp's free plan really free?
ClickUp's free plan is free forever and allows unlimited users and unlimited tasks, which is more generous than most project management tools. Every team member can join without a paid seat, and the free plan includes 24/7 support. It is truly free for small teams and personal use, but not for growing ones: storage is capped at 60 MB, Spaces and forms are limited, and many advanced features are trial-only. Gantt charts, integrations and unlimited storage start on the Unlimited plan. Paid plans can be trialed before you commit, and you can upgrade your ClickUp account at any time without moving data.
ClickUp for software development and technical teams
Technical teams use ClickUp for sprints, backlogs and bug tracking. Sprint Lists roll unfinished tasks into the next sprint, story points (sprint points on the Business plan) feed burndown charts, and the GitHub integration links commits and pull requests to project tasks. Custom fields handle severity or component, and dependencies link tasks across teams. ClickUp offers timeline view and Gantt charts for release planning, and powerful automation for handoffs between development, QA and product. Teams that live in Jira may find ClickUp less specialized for large engineering organizations, but for mixed teams where developers, designers and marketing share project workflows in one place, ClickUp works well.
ClickUp's learning curve
ClickUp has a steep learning curve because it offers so many features and several task levels, from Spaces down to subtasks. New users often feel there are too many features and settings, and TaskRhino estimates two to four weeks before a team is comfortable with it. A good way to use ClickUp effectively is to start small: one Space per team, one List per project, a handful of custom fields and two or three views. Add automations, dashboards and ClickUp Brain once the basic tasks and statuses work. ClickUp's help center has detailed guides and video tutorials, and templates help new users get started. Technical teams usually adapt faster than non-technical ones, because the interface is powerful rather than intuitive. Large workspaces with many views and heavy dashboards can show performance issues, so keep dashboards focused and archive old lists.
Where ClickUp shines — and where it falls short
Strengths:
- One app for task management, docs, chat, whiteboards and time tracking, which cuts the number of productivity tools a team pays for.
- A very flexible data model with custom fields, statuses and 15+ views.
- ClickUp's free plan is generous, with unlimited users and tasks.
- Low entry price for paid plans and built-in time tracking.
Trade-offs:
- Steep learning curve; the interface is feature rich but not as user friendly as simpler tools.
- Performance issues in large workspaces and heavy dashboards.
- Automations are capped per plan, and AI costs extra per user.
- The mobile app is less complete than the web version, and dedicated tools still beat ClickUp in some areas such as chat or docs.
How ClickUp compares
ClickUp offers more features than most project management tools; the ClickUp alternatives listed on LowCodeDevs trade some of them for a simpler or more specialized model:
- Notion: docs and wikis first, with databases; lighter project management and no built-in time tracking.
- Coda: documents that behave like apps, strong for custom workflows and tables.
- Airtable: a relational database with interfaces; better for structured data than for task management.
- Smartsheet: spreadsheet-style project management for large organizations and PMOs.
- Fibery: a connected workspace for product teams that want to model their own processes.
Asana, monday.com, Trello and Jira are other common alternatives: Asana is simpler to learn, monday.com is more visual, Trello is lighter, and Jira is built for software teams.
Is ClickUp worth it?
ClickUp is worth it for teams that want one place for project management, docs and time tracking, and that are willing to invest a few weeks in setup. The free plan is enough to test it with the whole team, and the Unlimited and Business plans are cheaper per user than many other project management tools. It is less of a fit for small teams that only need simple task lists, for teams that value speed and a calm interface over features, or when AI must be included for everyone, since that adds a second per-user charge. If you want help to design your ClickUp workspace, migrate from another tool or build automations and integrations, the agencies and developers on LowCodeDevs can take it on.

Questions
ClickUp FAQ
How much does ClickUp cost?
ClickUp is free on the Free Forever plan. Paid plans cost $7 (Unlimited) or $12 (Business) per user per month billed annually, or $10 and $19 billed monthly; Enterprise is custom. ClickUp Brain AI costs $9 or $28 per user per month extra.
Is ClickUp really free forever?
Yes. The Free Forever plan has no time limit and allows unlimited users and tasks, but storage is capped at 60 MB and many advanced features are limited or trial-only.
What is the main purpose of ClickUp?
ClickUp is used to plan, track and document work in one place: tasks and projects, docs and wikis, chat, time tracking, dashboards and automations for teams of any size.
Is ClickUp also a CRM?
Not a dedicated one, but teams often build a simple CRM in ClickUp with custom fields, a board view for the pipeline and automations. Sales teams that need email sequences usually connect it to a CRM such as HubSpot.
Why is ClickUp so popular?
Because it replaces several tools at once, has a generous free plan with unlimited users, and can be customized for almost any workflow with custom fields, views and automations.
Is ClickUp good for ADHD?
Many people use ClickUp to externalize tasks with reminders, recurring tasks, priorities and a single home view. The number of options can also overwhelm, so a simple setup with few views works best.
Is there anything better than ClickUp?
It depends on the team. Asana and Trello are simpler, Notion is better for docs, Jira for software teams, and Airtable for structured data.
Is ClickUp worth it?
Yes for teams that want one flexible app for projects, docs and time tracking and will spend time on setup. Less so for small teams that need simple task lists or a fast, calm interface.
