What is Notion used for?
Most teams use Notion for knowledge management and project management, and many individuals use Notion as their main productivity tool to stay organized. Common uses are a company wiki with onboarding pages and policies, knowledge bases for support and engineering, meeting notes, product roadmaps, content calendars for marketing teams, hiring pipelines and lightweight CRMs. Individuals use it for notes, reading lists, habit trackers and personal planning; power users build whole personal operating systems on linked databases.
The appeal is replacing multiple tools with one tool. Instead of a separate wiki, a task manager and a docs app, a team can keep specs, tasks and meeting notes in linked Notion pages. Notion pricing
Notion offers four plans. The plans below come from Notion's pricing page as of September 2026. From Europe the page shows euros (Plus €7.60 and Business €15.60 per member per month billed annually); the US dollar prices below match third-party pricing guides.
- Free plan: $0. All core features and unlimited pages for individuals, limited block storage once two or more members share a workspace, 5 MB file uploads, 7 days of version history, up to 10 guests and a limited trial of Notion AI.
- Plus: $10 per member per month billed annually, about $12 monthly. Unlimited blocks and file uploads, 30-day version history, unlimited charts, custom forms and sites. Notion AI stays a limited trial.
- Business: $20 per member per month billed annually, about $24 monthly. Adds full Notion AI access: Notion Agent, AI Meeting Notes, Enterprise Search and a limited trial of Research Mode, plus SAML SSO, private teamspaces, granular database permissions and 90-day version history.
- Enterprise: custom pricing. Unlimited version history, user provisioning (SCIM), audit log, advanced security controls and zero data retention with the AI model providers.
Notion AI pricing and custom agents
Notion AI used to be a separate $10 add-on on any plan. It is now part of the Business plan at $20 per user month, and Free and Plus users only get a limited trial, so Notion AI free use is capped. Custom Agents run on Notion credits on every paid plan: $10 per 1,000 credits a month after a free trial, so a busy agent works like a separate credit add-on on top of the seat price. In practice the Notion AI cost for a team is the $10 per user month difference between Plus and Business, plus any agent credits.
The cost surprise to check is that Notion bills per member. Every person who edits in the workspace counts, while guests are free up to the plan's limit. Teams that need full AI access pay the Business price for everyone, and heavy use of custom agents adds credit consumption on top. The workspace owner can see usage in the settings before it grows.
Notion AI features: meeting notes, Enterprise Search and AI tools
Notion AI works inside the pages and databases you already have, and the same AI powered tools work across pages, databases and meeting notes. You can ask the AI assistant to summarize a page, draft a document, fill database properties automatically or answer a question with AI generated answers that cite the pages they come from. With AI connectors, Enterprise Search also reads connected tools such as Slack, Google Drive and GitHub, while respecting each user's page permissions. AI Meeting Notes records a call, writes a transcript and turns it into action items linked to the right project.
For most users the value of the AI features is that the AI already knows the workspace, which sets Notion AI apart from other AI tools. Notion Agent can also handle repetitive tasks such as filling properties across a whole database. A general chatbot such as ChatGPT is stronger for open-ended writing, but it does not see your internal pages. Notion AI responses, like those of other AI tools, are only as good as the pages behind them, so a well-kept knowledge base matters more than the model.
Learning curve: how most users get started
Notion is easy to start and harder to master, and its user friendliness depends on how you use Notion. Writing a page takes minutes; designing linked databases, relations, rollups and automations takes days or weeks. That steep learning curve is the main reason some people move away from Notion or call it overkill for personal use. Start with a template, keep one database per real thing you track (projects, tasks, people), and add views before you add complexity.
