Calendly is an online scheduling tool that lets clients book meetings from your real availability, for freelancers, sales and service teams.
Overview
Calendly review
This Calendly review covers what Calendly is used for, its key features, Calendly pricing and the free plan, team scheduling, integrations, where it shines and falls short, and how it compares with other scheduling tools. Calendly replaces the back and forth of an email thread with a booking link. You connect your calendar, set your availability and rules, and share the link or embed a booking page on your website. Invitees pick one of the open time slots, and Calendly creates the event, adds a Zoom, Google Meet or Microsoft Teams link and sends automated reminders. Calendly was founded in 2013 in Atlanta by Tope Awotona and is one of the most widely used scheduling tools for booking appointments online (Wikipedia).
What is Calendly used for?
Calendly is used to schedule meetings with clients, prospects and candidates outside your company without trading emails, while Calendly only offers time slots that are really free. Typical uses are sales demos and discovery calls, client meetings for consultants and agencies, coaching and training sessions, recruiting interviews, customer success check-ins and paid one-off meetings. Freelancers use one booking link for all their clients. Sales and service teams use team scheduling to spread meetings across reps with round robin, or to book a meeting with several colleagues at once. Many small teams also use Calendly for group meetings and group events such as webinars or office hours, and meeting polls to find a meeting time that suits multiple users.
Key features
- Event types and booking pages: each event type has its own duration, location, questions and availability, and its own booking link. A booking page lists all your event types with custom branding on paid plans.
- Calendar sync: Calendly checks Google Calendar, Outlook, Microsoft 365 and iCloud for conflicts, so only free time slots are offered. Paid plans connect multiple calendars.
- Video conferencing: Zoom, Google Meet and Microsoft Teams links are added to every event automatically.
- Workflows: automated reminders, confirmation texts and follow up emails before and after each meeting.
- Team scheduling: round robin, collective (multi host meetings), group events and managed events, where admins control centrally managed event types for the whole team.
- Routing forms: qualify invitees with a form and send them to the right person or page; on the Teams plan this works with Salesforce, HubSpot and Marketo forms.
- Payments: collect payments from clients when a meeting is booked, with Stripe or PayPal, so paid sessions and consultations need no separate invoice.
- Meeting polls and one-off meetings: let a group vote on a time, or share a single-use link for a special meeting.
- AI meeting management: Notetaker records, transcribes and summarizes meetings, and the Callie assistant handles scheduling from an email thread and helps prepare for meetings (Calendly Help).
- Browser extension and apps: book from Gmail, Outlook, LinkedIn and the mobile apps.
Calendly pricing
Calendly is priced per seat per month, with a free tier and three paid tiers. The Calendly cost depends on the plan and on annual or monthly billing. The prices below come from the Calendly pricing page as of September 2026.
- Free: $0, free forever. One event type, one calendar connection, unlimited one-on-one meetings, a booking page and the browser extension.
- Standard: $10 per seat per month billed annually, or $12 billed monthly. Unlimited event types, up to six calendars, automated reminders and workflows, HubSpot, Mailchimp, Stripe and PayPal.
- Teams: $16 per seat per month billed annually, or $20 billed monthly. Adds round robin and collective scheduling, routing, Salesforce, Marketo and Pardot, and admin controls.
- Enterprise plan: from $15,000 a year. Adds security features such as SAML single sign-on, domain control and audit logs, plus dedicated support.
Notetaker and Callie are not in the base plans: they come with the Standard Plus and Teams Plus add-ons. Monthly prices for Standard and Teams are roughly 17–20% higher than the annual price (third-party price overview, written by a competitor).
The cost surprise to check is what the free tier leaves out. With one event type and one calendar connection, anyone who offers more than one kind of meeting or keeps a work and a personal calendar needs Standard. Salesforce routing, round robin and admin controls start at Teams, and the AI features are an extra add-on on top of any paid plan. Every person who hosts meetings needs a seat; invitees never need an account or a seat.
Calendly free plan and free tier limits
The Calendly free plan is enough for one person with one type of meeting. You get one event type, one calendar, unlimited bookings, a booking link, and Zoom, Google Meet or Microsoft Teams links. What you do not get is multiple event types, several calendars, automated reminders or follow ups, custom branding, payments and team features. You can use Calendly for free forever and upgrade only when you need more. For many freelancers the free tier covers one kind of call, and the first upgrade happens when they need a second event type, reminders or payments. Paid tiers unlock these additional features; the advanced features for teams and security come only with Teams and Enterprise. Free users rely mostly on the help center; paid plans add more direct support.
Calendly for teams: round robin, routing and meeting polls
Calendly's Teams plan is built for sales, recruiting and customer success. Round robin spreads bookings across team members by availability or priority. Collective events need everyone to be free. Routing forms qualify leads and send them to the right rep, and the Salesforce integration creates and updates records, so the booking process becomes part of the pipeline. Admins lock central settings in managed events and see reporting on meetings. Most teams start with Standard seats and move to Teams when they need round robin or CRM routing. Enterprise adds the security, audit logs and support larger companies require. Group meetings and meeting polls let small teams schedule meetings with several people without moving to the Teams plan.
Calendly integrations, Google Calendar sync and follow up emails
Calendly connects natively to Google Calendar, Outlook, Zoom, Google Meet, Microsoft Teams, HubSpot, Salesforce, Microsoft Dynamics, Mailchimp, Stripe and PayPal. For anything else, Zapier, Make and n8n trigger workflows when a meeting is booked or canceled, for example to add the invitee to a CRM, create a task in ClickUp or send a Slack message. Calendly also has an API and webhooks for custom integrations. Calendar sync with Google Calendar and Outlook runs both ways: bookings appear in your calendar, and busy time there blocks time slots in Calendly. Follow up emails and reminders are set in workflows, so clients get the right message after each meeting. This makes Calendly a common building block in no-code sales, payments and client onboarding flows, and in other tools that schedule meetings.
Where Calendly shines — and where it falls short
Strengths:
- Very easy booking experience for invitees; no account needed.
- Reliable calendar sync across Google and Microsoft calendars.
- Strong team scheduling, routing and CRM integrations.
- A useful free tier for a single event type.
Trade-offs:
- The free plan allows only one event type and one calendar.
- Per-seat pricing adds up for larger teams, and AI features cost extra.
- Limited design control over the booking page.
- Not built for service businesses that need packages, class passes or staff and room booking.
How Calendly compares
- HubSpot: the free Meetings tool inside HubSpot CRM, best if HubSpot is already your CRM.
- Zoho: Zoho Bookings, a cheaper scheduler for teams on Zoho's suite.
- Squarespace: owns Acuity Scheduling, which suits service businesses with packages, intake forms and payments.
- Wix: Wix Bookings for appointments and classes on a Wix website.
- Typeform: forms that can hand off to a scheduler, but no calendar logic of its own.
Is Calendly worth it?
Calendly is worth it for anyone who books many external meetings: freelancers, consultants, sales and recruiting teams. The free plan covers a single event type, and Standard at $10 per seat billed annually pays for itself after a few saved email threads. It is less of a fit for service businesses that need classes, packages or resource booking, for teams on a tight budget that need round robin, or for companies that want a self-hostable tool.
