Cognito Forms
Online form builder with calculations, payments, workflow and document output
Cognito Forms is an online form builder for teams that need calculations, payments, approvals and documents without code.
Overview
Cognito Forms review
This Cognito Forms review covers what the form builder is used for, its key features, Cognito Forms pricing and entry limits, how it compares with Jotform and Google Forms, and whether it is safe for sensitive data. Cognito Forms makes it possible to create powerful online forms in a drag-and-drop editor, then add conditional logic, calculations, e-signatures and payments without coding knowledge. Form data flows into workflow automation, generated PDF or Word documents and other apps. The free individual plan for 1 user includes unlimited forms and payments, so users can create forms and test them before the organization pays.
What is Cognito Forms used for?
Cognito Forms is used for forms that do more than collect a name and an email address. Typical examples are order forms and payment forms, registration and application forms, quotes and estimates with calculated totals, intake forms for clinics and law firms, satisfaction surveys and other survey forms, and contact forms with conditional follow-up questions. Organizations use it to replace paper processes: an application form collects the data, a workflow routes the entry to the right person for approval, and a generated document goes back to the applicant.
The form builder suits small businesses, nonprofits, schools and small teams in larger organizations who want advanced functionality without technical expertise. Cognito Forms says it is trusted by more than 1.5 million users, and the essential features work the same for a single user as for a large organization. Contact forms and simple survey forms are the usual start; most organizations then add payments and approvals as their forms grow. It is less focused on marketing funnels or conversational one-question-at-a-time forms, which other tools do better.
Key features
- Drag-and-drop form builder: create forms with unlimited fields and pages, pre built templates, rating scales, file uploads, person and lookup fields, and style settings for the form appearance.
- Conditional logic and calculations: show or hide fields and sections, set defaults, validate answers and compute totals with Excel-like calculations. An AI calculation helper turns a plain-language request into a formula (Cognito Forms: Calculations).
- Repeating sections and tables: capture a variable list of items, such as order lines, family members or job references, inside one entry, a feature many users mention first (Repeating sections).
- Payments: accept card payments through Cognito Pay, Stripe, Square or PayPal, and keep a card on file for later payments.
- E-signatures and save and resume: electronic signatures and saving a half-finished entry start on the Pro plan.
- Workflow automation: approval steps for the different phases of a process, workflow links, email notifications, entry sharing, and a client portal with guest access on the Team plan and above.
- Document generation: merge entry data into custom PDF or Word documents automatically.
- Entry management: custom views, bulk actions, import and export, and entry sharing, so users across the organization can review and update entries.
- Integrations: the Cognito Forms API and JSON webhooks, plus Zapier, Make and Microsoft Power Automate for thousands of other apps, such as Google Sheets or a CRM. Support for users comes through the help center and an AI support chatbot (Cognito Forms product).
Cognito Forms pricing
Every Cognito Forms plan includes unlimited forms, conditional logic and the core features, and the plans differ in users, monthly entries, storage and premium features.
Free individual plan and paid Cognito Forms plans
The prices below come from the Cognito Forms pricing page as of September 2026.
- Individual (free plan): $0, 1 user, 100 entries a month, 100 MB storage, payments included, with Cognito Forms branding.
- Pro: $19 a month billed annually or $24 monthly, 2 users, 2,000 entries a month, 1 GB storage. Adds electronic signatures, save and resume, and branding removal.
- Team: $39 a month billed annually or $49 monthly, 5 users plus 5 guest accounts, 10,000 entries a month, 10 GB storage. Adds the client portal, workflow approvals and data lookups.
- Enterprise: $129 a month billed annually or $174 monthly, 20 users plus 20 guests, unlimited entries, 100 GB storage. Adds HIPAA compliance, folder permissions and single sign-on.
What counts toward your plan
Paid plans have a free trial without a credit card, so you can test premium features before you pay. The usage metric is entries per month: every submitted form counts as one entry, across all forms in the organization.
The cost surprise to check is what happens at the limit. According to Cognito Forms' plans and billing help, entries above the monthly limit become unavailable until you upgrade. Files over the storage limit are captured but also stay unavailable until an upgrade. A busy month on the free plan or on Pro can therefore force an upgrade before you can read new entries. The second surprise is that HIPAA compliance and single sign-on are only on Enterprise, the only plan with unlimited entries. Guest access for people outside the organization starts on Team.
Advanced features: calculations, line items and document output
These advanced features are why many teams choose Cognito Forms over a simpler form builder, and why its support pages focus on them. Calculations cover totals, taxes, discounts, age from a date of birth and custom validation, so a quote or order form prices itself while the visitor fills it in. Line items in one entry let users add as many rows as they need, and the calculations work across them. Document generation then turns the entry into a branded PDF or Word file, such as a contract, invoice or certificate, so teams can develop contracts and confirmations without a separate document tool. Together they replace a spreadsheet, a form and a mail-merge step in one platform. Complex formulas take some learning; the AI helper and the help center shorten that.
Cognito Forms vs Jotform and Google Forms for online forms
Compared with Google Forms, Cognito Forms adds payment collection, calculations, line items, e-signatures, workflow and document generation. Google Forms stays free with no entry limits inside a Google account and is enough for simple surveys and quizzes. Compared with Jotform, Cognito Forms is stronger on calculations and structured form data. Jotform offers more templates, more design control and a larger app ecosystem. Both have free plans with monthly submission limits, so the right choice depends on whether your forms need data logic or design flexibility.
Is Cognito Forms safe? Enhanced security and compliance features
Cognito Forms is a legitimate, established form builder with enhanced security for the whole organization. Its enhanced security features encrypt data, support two-factor authentication and single sign-on, keep an audit log, and support GDPR and CCPA compliance. For health data, the Enterprise plan adds HIPAA compliance: organizations sign a Business Associate Agreement, and HIPAA-enabled accounts get encryption at rest, protected fields and automatic timeouts after one hour (Cognito Forms HIPAA). Formbricks, a competitor, notes that no self-hosting option or EU data residency guarantee is published.
Where Cognito Forms shines — and where it falls short
Strengths:
- Calculations, repeating data and conditional logic that other form builders lack on lower tiers.
- Unlimited forms on every plan, including the free individual plan.
- Payments, e-signatures, workflow and document generation in one platform.
- A user friendly, intuitive interface that non-technical users learn quickly, with a help center and a support chatbot.
Trade-offs:
- Limited customization options for form design compared with Typeform or Jotform.
- Only Enterprise has unlimited entries; entries above the monthly limit on other plans are locked until you upgrade.
- HIPAA compliance and single sign-on only on the Enterprise plan.
- Few native integrations; most connections run through Zapier, Make or Power Automate.
- No self-hosting.
How Cognito Forms compares
- Google Forms: free and simple surveys, no payments or calculations.
- Microsoft Forms: quick surveys and quizzes for Microsoft 365 users.
- Formstack: enterprise forms, documents and e-signatures at a higher price.
- Typeform: conversational, design-led forms for marketing and lead generation.
- Tally: a generous free plan and a document-style editor for simple forms.
- involve.me: quizzes, calculators and funnels for lead generation.
Is Cognito Forms worth it?
Cognito Forms is worth it when your forms calculate prices, collect payments, hold line items or need an approval workflow and a generated document. The free plan is enough to test it, and Pro or Team covers most small businesses at a lower price than enterprise form tools. It is less of a fit when design and conversion matter most, when you need full control over the form's look, when you need HIPAA on a small budget, or when you collect far more entries than your plan allows. If you want help building advanced forms and workflows for users across your organization, the low-code agencies and developers on LowCodeDevs can take it on.
